Mail-Merging Labels in Microsoft Word 2003
Many people use labels for their mailings—having printed labels rather than handwriting everything makes for an easier, more streamlined process. Here's how to do it, either using a new database or old one.
- In a new word document, click on the Tools option. A drop-down menu will appear. Select the Letters and Mailings option. Another drop-down menu will appear. Click on the Mail Merge option.
- A Mail Merge sidebar will appear. Select the Labels option and click Next.
- Select Label Options and a new window will open. In this window you can either choose a preset label size or create your own.
- Now is the time to create a list of the people you want on your labels. Click on Type a new list in the Mail Merge sidebar. A window will appear below. Select the Create option in that window. Here you can either create a new list of people, or use a list you already have ready in a spreadsheet, in your Outlook address book, or any other database you have on your computer.
- An Address List window will appear. In this window you can input whatever data you would like on your labels. You may also add fields of information not offered, or remove fields you don't want, by selecting the Customize option.
- Select the New Entry option each time you have finished entering the information for each contact.
- When you are done entering in contacts, click Close. A new window will appear asking you if you want to save. You may or may not choose to save the project.
- Select Next: Arrange your labels option at the bottom of the Mail Merge sidebar.
- Select the Address block from the new list in the Mail Merge sidebar.
- A new window will appear. In this window, you can choose your preferred format, and then click OK.
- Again, click the Next: Preview your labels at the bottom of the sidebar.
- A preview of the labels will appear in your document window. You can make any changes you wish now.
- At the bottom of the sidebar, select the Next: Complete the merge.
You're done! You can now print your merged labels.
