Mail Merging Labels in Microsoft Word 2007

Many people use labels for their mailings—having printed labels rather than handwriting everything makes for an easier, more streamlined process. Here's how to do it, either using a new database or old one.

  1. In a word document, select the Mailings tab. Click on the Start Mail Merge option. A drop-down list will appear. Select Start Mail Merge.
  2. Select the Labels option.
  3. A new window called Label Options will open. In this window you must choose your printer type, your brand of labels and your numbered label type. Once you have done this, select OK.
  4. Now you're ready to merge your information onto your labels. If you don't already have a list you would like to import from an existing database or even your Microsoft Outlook, you can create a new one here. Again, in the Mailings tab, Select Start Mail Merge. A drop-down list will appear. Click on Select Recipients.
  5. Now you may either select Type a New List, which will allow you to create a new list, or you may import an existing database.
  6. A New Address List window will appear. Here you may choose the fields you want included on your labels. You can also choose to either add or remove fields from you labels by selecting Customize. Now you can input the information you need.
  7. Once you've finished adding the information for a contact, click on the New Entry option in the bottom left of the New Address window. When you have finished entering all the information for each contact, select Close.
  8. A new window will appear asking you to save your document. Decide where and what you would like it to be called, and click Save.
  9. To preview what your labels will look like, select Preview Results in the Mailings tab. A drop-down list will appear. Click on Preview Results.
  10. You can now look through every label by either clicking the Next Record or Previous Record.
  11. To preview a specific contact click on Find Recipient.
  12. Once you have finished previewing, return to the Mailings tab. Select Finish. A drop-down menu will appear. Select Finish & Merge.

You're finished! You can now print your labels.
